Elmhurst Aquatics could not exist without volunteers. As a private, nonprofit organization, we rely on the assistance of caring and hard-working volunteers in all of our programs. As a result, EA asks each family to give back to the organization. A wide variety of volunteer opportunities exist throughout the year. Please consider one or more of the following positions listed below. If you are interested in being a volunteer or have additional questions about volunteer opportunities, please reach out to anyone on the Board with questions/nominations throughout the year.
Board of Directors
Elmhurst Aquatics is managed by a volunteer Board of Directors. Meetings generally occur monthly, or more often when needed. Meetings generally begin at 6:00 PM at the location where practice on the date of the meeting occurs, and scheduled meetings will appear on the team calendars. Meetings are generally open to families with currently registered athletes, however, meetings may be closed for any reason determined by the Board to require privacy or for any reason required by law.

Other Regular Volunteer Opportunities
Meet Director: Work with Meet Referee and Coaches to develop and distribute meet information (Meet Packet) required to obtain a USA Swimming sanction for meets hosted by EA. Coordinate volunteer sign-ups and work with all relevant committees (Concessions, Hospitality, Awards, etc.) to ensure a successful event. Select and coordinate vendors for the sale of swimming supplies and any other items at major meets hosted by the team.
Events & Social Committee: Plan and coordinate the activities for social functions (Parent Socials, Turkey Trot, Pizza Parties, etc.). Act as Liaison between EA Board and Hotels/Restaurants for out-of-state meets to set up group rates, meal functions, etc.
Ways & Means Committee: Works with the Board to set fundraising goals to build the EA Scholarship Fund and for major equipment purchases. Plan and coordinate team fundraising activities (Food Fundraisers, Raffles, Swim-a-Thon etc.). Creates and maintains relationships with local businesses and vendors, donating funds to EA.
EA Gives Back Committee: Plan and coordinate charitable activities for the teams (We Pop Up, Food/Coat Drives, etc.). Help to ensure EA maintains an outward, positive influence within Elmhurst and the surrounding community.
Volunteer Coordinator: Assist the Meet Director with the planning and coordination of volunteer activities for meets and tournaments hosted by EA.
Team Apparel: Coordinate ordering of swim apparel at registration, times, and follow-up orders during the season, if warranted; Arrange for sample suits to be available for sizing during registration; Keep records of payment and forward money received to the treasurer for deposit; Place orders with suppliers
At-Large Member – Those who are interested in volunteering their time, but not sure what capacity they would like to help out in. This will allow you to work side by side by side various chairs and volunteers throughout the swim season
Associate Member – Is there a position you are interested in volunteering for a Chair/Volunteer position, but that post is currently held by someone else? Shadow them and assist them this year to learn the position so you can move into their role next season.
Alternate: - Alternates shall be willing to step into any board position that is vacated for unforeseen reasons; shall make an effort to stay up on current board issues; and will support the board actively in all duties required to run a swim team.
Certified Officials:
Being an official is a GREAT opportunity to spend time on deck with your athlete and understand the sport better. Certified officials through Illinois Swimming are required to be able to run meets in our home pool. One sign of a healthy swim organization is a healthy bench of current officials to ensure continuity and advancement for long-standing success. Officiating fulfills all family volunteer requirements, and EA also reimburses all registration fees associated with becoming an official and maintaining certification. *These individuals cannot make every session of every meet, but together as a team, we can support our athletes to provide the best competition experience possible.
Meet Volunteer Opportunities
(Number in parentheses indicates the number EA would prefer to have for each meet session)
Admissions (2-3): Run admissions at meets and tournaments where EA has an entry charge.
Concessions (2-3): Sell concessions in the pool balcony during home swim meets and water polo tournaments.
Computers/Meet Administration (1-2): Assist meet Administrative Officials with entries of meet information, preparing heat sheets, entering and confirming results, and posting results.
Announcers (1): Announce event and heat information (and any other meet announcements) for swimmers and spectators.
Colorado Time Operator (1-2): Operate the electronic timing system and assist with the scoreboard. It's easy, and you will be trained.
Head Timer (1): Assist in all aspects of timing, prepare stopwatches, time clipboards, and collect timer sheets. Act as a backup timer in the case of a watch malfunction.
Timers (13): Check-in athletes and record times throughout the meet session to serve as backup to the timing system. Timers briefings occur 20 minutes before the start of meet to explain all duties.
Runner (2): Collect event sheets from lane timers and DQ slips from officials.
Deck Marshal (4): Monitor entry to the deck for unauthorized personnel, monitor athlete locker room entrances, and enforce deck rules.
Heat Awards (1): Distribute heat winner awards to athletes as they exit the pool.
Deck Hospitality (1-2): Distribute beverages and snacks to coaches, officials, and volunteers.
Meet Floaters (4-6): Assist with various tasks, provide relief to other volunteers, check in and check out volunteers, and assist coaches or officials as needed.
